Workflows for Getting OA Articles

  1. Researcher Deposits Article Directly Into ScholarSphere
  • RMD imports data from ScholarSphere regularly. If RMD has a record for a publication that has been deposited in ScholarSphere, a link to the ScholarSphere deposit is added to the RMD record.
  • This importer looks up publications based on DOI only. If the publication does not have a DOI, or if the DOI is missing from either the RMD record or the ScholarSphere deposit, the match will not happen automatically.
  • If there is no automatic match, an RMD user or admin can submit the ScholarSphere link as an open access link.
  1. Researcher Uploads Article to Activity Insight
  • Article is uploaded to Activity Insight, located on the Publication's screen.
  • RMD imports the article file, which enters the AI OA Workflow for review. Some steps in the review are automatic; others require manual work by an RMD admin.
  • At the end of review, an RMD admin sends the file and metadata to ScholarSphere for deposit.
  • Once the file has been deposited in ScholarSphere, there is a "ScholarSphere work deposit" record and an OA URL to the deposit associated with the Publication in RMD.
  1. Researcher Receives Open Access Reminder Email from RMD
  • Periodic email is sent to researcher to provide a list of articles that are not openly available.
  • Researcher follows link in email to view list of articles in RMD. For each article, Researcher can:
    • Deposit a copy of the article in ScholarSphere using RMD's deposit workflow (note that this workflow fills in as much metadata as possible automatically),
    • Submit an Update the Metadata Database with the ScholarSphere URL for the Open Access URL in that citation, or
    • Get a waiver
  1. We also go fetch Open Access URLs from Open Access Button and Unpaywall, but currently do not download those articles to ScholarSphere.
