Workflows for Getting OA Articles

  1. Researcher Deposits Article Directly Into ScholarSphere
  • RMD imports data from ScholarSphere regularly. If RMD has a record for a publication that has been deposited in ScholarSphere, a link to the ScholarSphere deposit is added to the RMD record.
  • This requires someone to look at articles that have been deposited on a periodic basis
  • Assuming the citation exists in the Metadata DB, then update the Metadata DB with the ScholarSphere URL
    • If the article doesn't exist in the Metadata DB, either wait for a data refresh or add record
  1. Researcher Uploads Article to Activity Insight
  • Article is uploaded to Activity Insight, located on the Publication's screen.
  • LST will run a report periodically to get a listing of Open Access documents (need links to documents and metadata)
  • RePub responsible for taking a listing of documents and metadata and uploading those to ScholarSphere
  • Once they have been uploaded to ScholarSphere, assuming there is a record for the citation in the Metadata DB, we then update the Open Access URL for the citation record in Metadata DB with the ScholarSphere URL
    • If there is no record of the article in the Metadata DB, add record
  1. Researcher Is Emailed to deposit Article via Metadata DB
  • Periodic email is sent to researcher to provide a list of articles that need to be deposited with link to Metadata DB
  • Researcher views list of articles in Metadata DB and either
    • Submits an Article to ScholarSphere and Metadata DB will mark that this article was uploaded

    • Someone will need to view uploaded articles to ScholarSphere to get the Open Access URL by running periodic reports

    • Update the Metadata Database with the ScholarSphere URL for the Open Access URL in that citation

    • Or they submit a waiver

  1. We also go fetch Open Access URLs from Open Access Button, but currently do not download those articles to ScholarSphere.
